How AI chatbots can answer questions from your company documents

A practical look at RAG chatbots with department-based access, evaluation and safe rollout.
Most companies already have the answers staff need — buried in drives, PDFs and old tickets. An AI chatbot that retrieves from those documents can cut waiting time for routine policy and process questions. The useful pattern is retrieval-augmented generation (RAG): the model answers from retrieved text rather than inventing from general training data alone.
What RAG means
Documents are chunked, embedded and stored in a searchable index. When someone asks a question, the system retrieves the most relevant chunks, then the model writes an answer grounded in that context. Good systems show sources so a human can verify. Bad systems hide the provenance and sound confident when the index has nothing useful.
Permissions matter
Not every employee should see every file. Department-based access is essential: HR policies for people teams, pricing sheets for sales, engineering runbooks for ops. The retrieval layer must respect the same ACLs as your document store. Without that, a helpful bot becomes a data leak.
Evaluation before hype
Before a wide rollout, build a set of real questions with expected answers. Measure whether the bot cites the right document, refuses when unsure and stays within policy. Accuracy targets depend on risk — a cafeteria menu bot is not the same as a benefits eligibility assistant.
Rollout pattern
Start with one department, a curated corpus and a feedback button. Keep a human escalation path. Refresh documents on a schedule so answers do not rot. At Cognipoint we treat RAG projects like any other product: scoped users, clear success metrics, security review and a support plan after launch.
